We are seeking a highly skilled Real Estate Operations Manager to
join our team and assist in managing business operations,
streamlining processes, and facilitating expansion. This role is
intended for someone with previous operations and transaction
coordinator experience at a residential Real Estate sales office
and will report directly to the Broker/ Owner.----Applicants should

This is an in-house position located in St. Johns County where you
will report to a physical office daily.
Responsibilities:
Highlights:
--- Oversee and manage all aspects of operations, ensuring smooth
and efficient business processes.
--- Build and establish systems to enable the growth and future
expansion of the team.
--- Act as the central point for all transaction coordination,
focusing on purchase contracts through closing. New construction
experience is a plus.
--- Managing Listing Coordination from Listing Appointment to
Purchase Contract.
--- Collaborate on Listing Marketing alongside our virtual
marketing assistant.
--- Ensure all files adhere to Broker guidelines for
compliance.
--- Engage with transaction parties through email, text, and phone
communication.
--- Cultivate positive relationships with all parties involved,
including Buyers, Sellers, Lenders, Builders, Closing Attorneys,
and Agents.
--- Perform 95% of duties independently without constant
supervision. This role is not a hands-on "learn as you go"
role.
Responsibilities:
--- Operations Supervisor: Manage and oversee team members as we
continue to grow to ensure operations, deliverables, and processes
are adhered to and met to allow the Broker/Owner to focus solely on
production and sales.
--- Relationship Contact Manager: Build, oversee, and maintain the
Follow-Up boss CRM. You must currently know how to use this CRM, no
exceptions!
--- Builder Coordinator: Responsible for coordinating with new
construction sales reps & buyers during the entire build process to
address issues, escalations, and inquiries.
--- Listing Coordinator: Responsible for processing and completing
incoming listings from pre-listing to CMA and accepting the
purchase agreement.
--- Transaction Coordinator: Responsible for the processing and
completion of the Purchase Contract, whether representing the Buyer
or Seller side, to closing. Dot Loop fluency is required.
--- Submitting offers to purchase for signature (sometimes after
hours or on weekends)
--- Ordering/scheduling all Inspections and appraisals, as well as
coordinating agents to be present.
--- Completion of all disclosure contract paperwork; schedules and
orchestrates closings.
--- Marketing Manager: Manage the virtual marketing assistant to
ensure all YouTube and newsletter deliverables are completed and
accurate. Familiarity with Canva is a plus for listing flyers and
other marketing brochures as needed.
--- Growth: Attend seminars and classes as necessary and desirable
to improve and maintain skills, and knowledge to keep abreast of
new systems and processes that can be utilized on the team.
--- Meetings: Attend planning and evaluation meetings weekly or as
necessary to maintain business practices in the Realtor's
absence.
Qualifications:
--- You must have previous operations and transaction coordinator
experience at an existing real estate brokerage office in your most
recent role! No exceptions!
--- We are NOT looking for someone looking to get "back into the
business" after time away
--- We are NOT looking for someone with an active real estate
license with sales looking to supplement their income.
--- Fluent with Florida MLS contracts, Dot Loop, and Follow Up Boss
CRM, Google Drive, and Microsoft Office are required. If you do not
know how to use these existing systems, please do not apply. The
broker/ owner does not have time to train on how to use these
tools.
--- Located in Jacksonville, FL, or surrounding areas - this is an
in-house position (not remote).
--- 2 years of minimum Florida Real Estate operations and
transaction experience.
--- Experience building SOPs/Task-lists/Workflows/Checklists
